Phone system integration with the software you already run

A phone call that doesn’t reach your systems is a phone call somebody has to re-type. We join Uniden Voice over Cloud to your CRM, job management, accounting and rostering, so the call, the customer and the job are the same record from the first ring.

What an integration usually does

Click-to-dial is the part that appears in brochures. It’s also the smallest part. The value is in what happens around the call:

  • Caller lookup and screen pop. The number is matched against your software before anyone picks up, so the person answering sees the name, the site, the open job and the balance.
  • Automatic call logging. When the call ends it’s written back against the right record: direction, duration, who took it, a link to the recording and, if you want it, an AI-written summary.
  • New callers become records. An unknown number can create a lead or a draft customer, so nobody has to remember to do it later.
  • Routing on your data. Key accounts to their account manager, open jobs to the team running them, overdue accounts to accounts.
  • Events that trigger calls and messages. A job marked complete can send the customer an SMS; a missed call can raise a task.
  • Call data next to business data. Call events streamed into the same warehouse or dashboard as your jobs and invoices.

How it works under the hood

The platform emits an event when a call starts, is answered and ends. A small integration service receives those events, tidies the caller’s number into one consistent format (the same mobile arrives as 04…, +614… and 614… depending on where it came from), looks it up through your software’s API, and acts on the answer. When the call ends, it writes back.

Where a system has no API at all, we’ve still got there with scheduled exports and imports. Where a no-code tool such as Zapier, Make or n8n is enough, we use it, because it’s cheaper for you to run. Where volume, error handling or response time matter, we write code instead. We agree where the integration runs and who holds the keys before we start.

The call arrives with the job already on screen

A plumbing group with forty vans was losing ten minutes a job to re-typing. Now an inbound call matches the number against job management, pops the site history on the operator screen, and writes the call back against the job the moment it ends. No double entry, and the notes are actually there.

export async function onInboundCall(event) {
  const caller = normaliseAu(event.from);        // +61... every time
  const customer = await simpro.customers.search({ phone: caller });

  if (!customer) return agentScreen.show({ template: "new-lead", caller });

  const job = await simpro.jobs.findOpen({ customerId: customer.id });
  await agentScreen.show({
    template: "known-customer",
    name: customer.name,
    site: job?.siteAddress ?? customer.billingAddress,
    lastVisit: customer.lastVisitedOn,
    openJob: job?.number ?? null,
    balance: customer.balanceCents / 100
  });
}

Common questions

Is click-to-dial an integration?

Technically, yes, but it’s the smallest part of one. The time savings come from lookup, logging and routing. Our guide on CRM phone integration beyond click-to-dial covers what to ask for.

Our software isn’t on your list. Can you still connect it?

Very likely. Anything with a REST API, a webhook or a database we can reach is in scope, and where a platform has no API at all, scheduled exports usually get us most of the way. The audit is where we confirm it.

Does our data leave Australia?

The Uniden Voice over Cloud platform keeps support, engineering and call data onshore. Where the integration layer runs is agreed with you up front, so tell us about any data residency requirements at the audit and the design will account for them. Your other cloud software keeps its data wherever that vendor stores it.

How long does an integration take?

It depends on the systems and how much logic sits in the middle. The simPRO screen pop on our homepage was a three-week build. Yours gets a fixed price and a timeline in writing after the audit.

Book the $450 systems audit

We go through what you’re running, what it’s costing you, and where the call is falling out of the process. You get a written plan and a fixed-price quote for the work, and it’s yours to keep whoever you decide to use.

$450 fixed, in AUD, excluding GST. Conducted remotely, Australia wide. On-site audits quoted separately on request.
