CRM integration

CRM phone integration for HubSpot, Salesforce, Zoho and Pipedrive

Your CRM is only as good as what gets logged in it, and phone calls are the activity that most often goes unrecorded. Integration fixes that at the source: every call is matched, logged and summarised without anyone having to remember.

What gets synced

  • Inbound lookup. The caller’s number is matched to a contact, company or deal before the call is answered.
  • Screen pop. The record opens for whoever picks up, with the owner, open deals and last activity in view.
  • Automatic call logging. Direction, duration, outcome, who handled it and a link to the recording, written to the record’s timeline.
  • AI call summaries. Live transcription with a short summary into the CRM, so the next person knows what was said.
  • Unknown numbers become leads. Created, tagged with the line they called, and assigned.
  • Two-way, not just click-to-dial. Changes in the CRM can drive the phone system too, such as routing to a new account owner the moment they’re assigned.

Owner-based routing

Once the phone system can see the CRM, it can send a known customer straight to the person who looks after them. If that person is busy or out, the call goes to their team, and the logged call still lands on the right record. For sales teams it means a returning prospect reaches the rep who has the context; for service teams it means fewer transfers.

HubSpot, Salesforce, Zoho, Pipedrive: the differences that matter

Each CRM stores calls differently: as an engagement on the timeline, as an activity, or as a task. Each also decides which features are available through its API on which plan. Both HubSpot and Salesforce offer ways to embed a calling panel inside the CRM itself; for many teams, a screen pop plus automatic logging delivers most of the value with much less to maintain. We work out which approach suits how your team actually uses the CRM.

Beyond those four, we’ve connected Microsoft Dynamics 365, monday CRM, Copper, Insightly, Freshsales, Keap, Capsule and SugarCRM.

Getting phone numbers clean

Most CRM integration problems turn out to be data problems. The same mobile is stored as 0412…, +61 412… and 61412… across different records, so a naive lookup misses. We normalise numbers on the way in, handle duplicates explicitly, and can tidy the existing data as part of the build.

Common questions

Do we need a particular CRM plan?

Possibly. Some CRMs only offer API access, or certain objects, on higher plans. We check your plan during the audit, before anything is quoted, so there are no surprises later.

Are call recordings stored in the CRM?

Usually the CRM holds a link to the recording rather than a copy, which keeps CRM storage costs down and access controlled in one place. If your retention rules need recordings in your own storage, we push them there.

Our CRM isn’t one of the four on this page.

The approach is the same for any CRM with a usable API. The integrations page lists the ones we’ve already connected.

Book the $450 systems audit

We go through what you’re running, what it’s costing you, and where the call is falling out of the process. You get a written plan and a fixed-price quote for the work, and it’s yours to keep whoever you decide to use.

$450 fixed, in AUD, excluding GST. Conducted remotely, Australia wide. On-site audits quoted separately on request.
