An AI receptionist for trades that books the job, not just takes a message

When you’re up a ladder or under a house, you can’t answer. The caller doesn’t leave a message; they ring the next business on the list. An AI receptionist answers every time, books the work and only interrupts you when it should.

What it handles

  • New enquiries. Job type, address, urgency and the best number to call back, gathered in a natural conversation.
  • Bookings into the real diary. It checks live availability, offers a slot, confirms it aloud, writes the booking into your job management system and texts the customer.
  • Emergencies. Anything on your urgent list goes to the on-call mobile straight away, with a written summary so the tech knows what they’re walking into.
  • Existing customers. Recognised by number, so it can confirm when the tech is due or take a message against the open job.
  • Everything else. A clean message into the office queue for the morning, not a voicemail to transcribe.

What a call sounds like

An illustrative example of an after-hours booking. The wording, the slots and the rules all come from your brief and your diary.

AGENT Thanks for calling. You've reached the after-hours assistant.
        I can book a job or get an urgent one to the on-call plumber.
CALLER The hot water system's leaking in the garage.
AGENT Is water still running, or has it slowed to a drip?
CALLER Just dripping now. I turned the tap off.
AGENT Good. That can wait for a booked visit. What suburb are you in?
CALLER  Seaford.
AGENT Seaford, S-E-A-F-O-R-D. I have 8:30 tomorrow morning or
        1 o'clock in the afternoon. Which suits?
CALLER  8:30.
AGENT Booked for 8:30 tomorrow. I'll text you the confirmation now.
        If it starts running again, call back and say "urgent".

-> find_available_slot(suburb="Seaford", jobType="hot water", urgency="standard")
-> book_job(slotId="...", notes="HWS leak, isolated by customer")
-> sms.send(template="booking-confirmed")

Urgent or it can wait: your rules, not the AI’s

The agent doesn’t decide what counts as an emergency. You do. Burst pipes, no power, a blocked sewer: whatever is on your list goes to the on-call mobile now. Anything involving gas or electrical danger gets your safety script first and then a person, never just a booking. Everything else is booked or messaged.

If the on-call tech doesn’t answer, the escalation continues down the list you set, and the customer is told honestly what will happen next.

Works with your job management

Bookings and notes land where your office already works: simPRO, ServiceM8, AroFlo, Fergus, Tradify, Jobber or ServiceTitan. The simPRO and ServiceM8 phone integration page covers how that side connects.

Start small

Most trades businesses start with after hours only. Once the transcripts show it handling calls the way you would, it can move to overflow during the day, picking up when the office is already on the other line.

Common questions

Will customers hang up on a robot?

Some will, especially at first. An assistant that says what it is, gets to the point and offers a person or a message keeps most callers on the line, and it still beats a voicemail that doesn’t get returned until the morning.

Can it quote prices?

Only the fixed figures you give it, such as a callout fee or an after-hours rate. It doesn’t estimate jobs. Anything that needs a quote is booked as a visit or passed to you.

What if our job management system is down?

The agent takes the details, texts the on-call tech if it’s urgent, and the booking is entered once the system is back. Callers aren’t left hanging because an API is slow.
