What a phone system audit covers, and what you get at the end

Every engagement with us starts with a $450 fixed-price audit, run remotely. This guide explains what we look at, what to have ready, and what you walk away with, whether or not you use us afterwards.

Why start with an audit

Most phone system problems are described by their symptoms: calls go missing, staff re-type everything, the bill keeps creeping up. The fix depends on the cause, and the cause is usually somewhere between the phone system and the software the business runs on. Quoting a build without looking first means either guessing or padding the price. The audit replaces both with a plan.

What we look at

  • Your current platform and plan. What you’re on, what you pay, and which features you’re paying for but not using.
  • Your numbers. Every number, what it does and where it rings, including the ones nobody remembers setting up.
  • Your call flows. Business hours, after hours, public holidays, menus, queues and voicemail, traced the way a caller experiences them.
  • Where calls fall out of the process. Missed and abandoned calls, voicemails nobody returns, transfers that loop, where the data is available.
  • The software you run. CRM, job management, accounting, rostering, booking, and where staff are re-typing between them and the phone.
  • Sites, handsets and people. Who answers what, from where, and who looks after the system now.

What to have ready

None of this is mandatory, but each item makes the audit sharper:

  1. A recent phone bill or two.
  2. A list of your numbers, even a rough one.
  3. Admin access to the phone system, or screenshots of its settings if access is awkward.
  4. The software your team uses daily, and who owns each account.
  5. The three kinds of call that annoy you most. This is often the most useful thing on the list.

What you get at the end

  • A written plan, in plain English. What to change, in priority order, and why.
  • A fixed-price quote for the build. Not an estimate, and not an hourly range.
  • A view on the options. Including when a ready-made connector or a settings change will do, and building something isn’t needed.
  • A plan that’s yours to keep. Use it with us, with someone else, or on your own.

What the audit doesn’t cover

It’s remote, which is what keeps it at $450 anywhere in the country. If you want us on site, for a multi-site rollout or an old system with no documentation, that’s quoted separately. It’s also not a full IT, network or security assessment, although we will flag anything we see that affects call quality or reliability.

After the audit

There’s no obligation. If you go ahead, the build runs at the fixed price in the quote, cut over out of hours, with your team trained before go-live. If you want ongoing help after that, it is $150 per hour or a retainer. The pricing page covers the detail.

Common questions

Is an audit worth it for a small office?

Usually, yes. Small offices often get the quickest wins from it, such as features already being paid for but never switched on, or a call flow that sends customers in circles after hours.

Do we need to be on Uniden Voice over Cloud already?

No. If you’re on something else, the audit still tells you what is possible and what a move would involve, and you’re free to take that plan elsewhere.
