Phone system setup and support for teams without IT

Plenty of our work isn’t complicated. It’s just that nobody in the office has the time or the appetite for it. We configure it, document it in plain English, train the team, and stay on the end of the phone afterwards.

What we take off your desk

  • A look at what you have. What the current system actually does, including the things nobody remembers setting up.
  • Configuration. Users, ring groups, business hours, public holidays, menus and voicemail, set up the way your business runs.
  • Number porting. Coordinated so your customers keep dialling the same numbers.
  • Handsets. Provisioned from a template, so every desk and branch matches.
  • Cutover. Run out of hours, with the old behaviour ready to fall back to.
  • Training. Short and practical, for the people who answer the phones and for whoever will look after it.
  • Documentation. In plain English, written for your staff rather than for an engineer.
  • A named person to ring. Not a ticket queue.

Moving off an old system

The hardest part of replacing an old on-premises phone system is usually not the new one. It’s working out everything the old one quietly does: a night service switch, a pickup group, a fax line that turns out to matter. We map all of that before anything is switched off, so nothing disappears in the move.

The $450 audit is run remotely. For a multi-site rollout or an old system nobody has documentation for, an on-site visit is often worth it, and we quote that separately.

A cutover without the Monday-morning surprise

  1. List every number and what it does. Main lines, direct lines, fax, alarm and lift lines, and any number printed on a van or a sign.
  2. Check the porting details match. Mismatched account details with the current carrier are a common cause of delays, so they’re checked before anything is lodged.
  3. Build and test the new call flows first. Before a single number moves.
  4. Confirm the address held for each number. Emergency services may rely on it, so it needs to be right for every site and every user.
  5. Port out of hours. Then test inbound, outbound, voicemail and menus from outside the building.
  6. Train before go-live. Not on the morning it happens.

After go-live

Ad hoc help is billed at $150 per hour plus GST, in the time it takes. If you would rather have us on the hook continuously, a retainer gives you a block of hours a month at a discounted rate, response and resolution targets in the contract, a named engineer who knows your setup, and a roadmap session each quarter. Details are on the pricing page.

Common questions

We only have a handful of staff. Is this worth it for us?

Often more than for anyone. Small teams with no IT person are usually the ones getting the least out of the platform they already pay for. A properly configured system, written down in plain English, saves the same hours every week.

Can you do the work on site?

Most of it’s done remotely, which keeps it affordable anywhere in the country. Where being there helps, such as a multi-site rollout or a cabinet full of old equipment, we quote the on-site work separately.

Will we keep our existing numbers?

In the normal case, yes. Porting moves your existing numbers to the new platform so customers dial exactly what they dialled before. We check the details up front and tell you about any number that needs special handling.
