CRM phone integration: what to ask for beyond click-to-dial
Almost every phone system brochure promises CRM integration, and almost every one means click-to-dial. It’s useful, but it saves a few seconds per outbound call. The real value is in everything that happens around the call.
What click-to-dial does, and doesn’t do
Click-to-dial lets someone click a number in the CRM and have their phone ring it. That’s the whole feature. It does nothing for inbound calls, doesn’t log the outcome, and doesn’t help the next person who picks up the record. If that’s all an "integration" does, the CRM still depends on people remembering to write things down.
The five things a real integration does
- Inbound lookup and screen pop. The caller is matched to a record before the call is answered, and the record opens for whoever picks up.
- Automatic logging. Every call, in and out, written to the record’s timeline with direction, duration, outcome and a link to the recording.
- Summaries. A short AI-written summary of what was said, so the record carries the substance and not just the fact that a call happened.
- Routing on CRM data. Known customers to their owner, open deals to the rep working them, unknown numbers into a lead process.
- Two-way sync. Changes in the CRM, such as a new owner or a closed deal, change how the phone system behaves, without anyone updating it by hand.
Questions to ask any provider
- Which way does the data flow? Phone to CRM only, or both ways?
- What happens with an unknown number, or one that matches several records? Guessing is worse than asking.
- How are phone numbers normalised? The same mobile stored three ways is the most common reason lookups fail.
- Where are recordings stored, and who can play them? A link in the CRM, a copy, or your own storage.
- What happens when the CRM is slow or down? Calls should still ring; they just arrive with less context.
- Who maintains it when the CRM changes its API? Someone has to, and it should be in writing.
- Can I see it working on my own data? A demo on sample records proves very little about your duplicates.
Warning signs
- "Integration" that turns out to be a browser extension each user must install and keep logged in.
- Logging that depends on the user clicking save after every call.
- No answer on duplicates or shared numbers. They exist in every CRM.
- A per-user price for something that’s really a per-business build.
How we approach it
We start from what your team does after a call today, and remove the parts they should not have to do. On Uniden Voice over Cloud that’s built on the platform’s webhooks and open API, against your CRM’s own API. Our CRM phone integration page covers HubSpot, Salesforce, Zoho and Pipedrive specifically.
